What personal data do we process and why?

Before you register with IF Solutions, we need some information to assess your application and contact you. We therefore require the following: 

• Title
• Name
• E-mail address
• Telephone number
• Postal code and house number
• Current CV containing employment history and education
• Availability date
• Interest in an interim project, a permanent position or both 

Retention of your personal data 

We will retain your data for one year in order to contact you about projects or vacancies. Beyond this period, we will either ask permission to extend the retention for an additional year or your data will be anonymised. Following placement, we will retain your data for seven years. Consult the Placement section for more information.

How we might share your personal data 

We will not share your data upon registration. We will only ever share relevant data with a potential client when you are applying for a position. We will never do so without informing you in advance. Consult the Applications section for more information.

Additionally supplied, unrequested personal data will be carefully retained. We assume you are sharing your data voluntarily and consent to its processing by IF Solutions.

Retention of your personal data

Data received in response to a job application is stored for one year. Beyond this period, we will either ask for permission to extend the retention or your data will be anonymised.

In the event of an unsuccessful application, we will ask your permission to contact you about other vacancies, should your profile show potential. In such cases, we will retain your data for one year. Beyond this period, we will either ask for permission to extend the retention or your data will be anonymised. When carrying out an interim project through us, your data will be retained for seven years. Consult the Placement section for more information. 

How we might share your personal data

When we introduce you to a potential client, we will share your name, place of residence, CV and cover letter. No introductions will be made without informing you first. 
For some projects, we work through an internal hiring agency, managed service provider or broker. In these cases, relevant data may be shared. Again, we will not do this without first informing you.

What personal data do we process and why?

IF Solutions maintains an up-to-date record of everyone we have placed on an interim project. This is a requirement of the Tax Administration. In addition to the personal data already processed at the time of your application/registration, the following data and/or documents may be processed, depending on the client's screening policy. 

Self-employed/freelance

• Recent Chamber of Commerce extract
• VAT number
• Business liability insurance policy
• Certificate of good conduct
• Identity verification form
• Copy of diploma regarding highest level of educational attainment
• If applicable, proof of registration in any professional/vocational directory and other relevant diplomas and certificates

Payroll 

• Certificate of good conduct
• Identity verification form
• Copy of diploma regarding highest level of educational attainment
• If applicable, proof of registration in any professional/vocational directory and other relevant diplomas and certificates

Personal data required for salary payment will only be processed directly by our payroll partner and never by us. 

Retention of your personal data 

If you have been placed through us, we are obliged by Tax Administration legislation to retain your data for seven years. These seven years commence upon project completion.

How we might share your personal data

The above personal data is generally solely used for our own records. For certification(s), we are audited every six to 12 months by an auditing party. The possibility exists, therefore, that an auditor may view your file.

IF Solutions uses Google Analytics to anonymously analyse and understand how people use this website. We do this to make informed decisions regarding the website and to provide you with an optimal online experience. We have taken the following measures to fully protect your privacy. 

• We have signed a processing agreement with Google

• We have turned off all possibilities offered by Google to 'share data with Google’ 
• We do not use other Google services in combination with Google Analytics cookies

This means we have clear agreements about what data they will process for us and how this is secured, ensuring optimal privacy.
